Providers who get the worker retention payment must report information to us. This page outlines what you need to report, when, and how.

Workplace instrument declaration
You must provide a declaration confirming that:
- you have given all eligible workers information about compliant workplace instruments
- you have taken reasonable steps to engage workers under a compliant instrument.
You must provide this declaration within 90 days of executing your grant agreement.
Annual declaration and financial statement
You must complete an annual declaration and financial statement. This includes:
- a declaration confirming you have used all funding in line with the grant conditions
- a financial statement showing total expenditure on wages and on-costs.
2024–25 reporting
The 2024–25 annual declaration form is available in the grants portal for providers who received payments before 30 June 2025. The declaration is due by 10 October 2025.
If you received your first payment after 30 June 2025, you don’t need to report until August 2026.
Tips for completing the form:
- Log into the grants portal to access the form. If you can’t see it, you don’t need to report yet.
- A person with management or control must complete and submit the form.
- Only include payments made before 30 June 2025. Payments made in July for June wages are not included in this reporting period.
- Report workplace instrument coverage at the provider level. If it’s below 95%, you must explain the reasonable steps you took.
- Include 2023–24 data even if you didn’t receive funding until 2025. Enter ‘0’ if a service wasn’t operating in 2023–24.
- Email WRPGrantCompliance@education.gov.au if you need to make changes after submitting.
Change of circumstances
You must tell us about any of the following changes:
- you add or remove a service from your provider approval
- there is a change in director or owner of the provider
- a service is transferred to or acquired from another provider.
Email CCShelpdesk@education.gov.au to report these changes. This is in addition to your regular CCS reporting obligations.
